DEMO ROOM INFORMATION
Demo room space is provided for those wishing to demonstrate new technologies and unique new implementations of technology, especially those relevant to the conference content.
To be included in the Demo room at the Technology Retreat, product must meet specific criteria:
Demo Room Product Criteria:

- The Demo Room is not a “trade show” and is not intended as a selling venue. Demo’s accepted will be ones which enhance the focus of the Retreat on new technology. Space is limited and will be awarded after review by the committee. No announcements of the decision will be made until the review is complete.
- Demo space is available to companies or individuals showing an innovative new technology or something related to research and development which participants will find of interest.
- Technology demos may include new products, new technical approaches to existing products, and implementation of recently standardized technologies, or demonstrations of research in progress which is relevant to media technology.
- Product introductions are especially welcomed and encouraged. Information about innovative implementations using a new technology or technique is very useful and is encouraged.
- Current product may be included only when it is needed for the demo.
- The focus is on new technology, and not new or existing products utilizing technology which has been available for some time. For instance, a new non-linear editor which does not utilize new technology or techniques is not relevant to the Demo Room. A new version of software without new or innovative features not available before is not qualified. However, new implementations of emerging technology, different in substantial material ways from other products is appropriate. For instance an H.264 real time 4:2:2 implementation might be considered new, whereas existing 4:2:0 product would not be appropriate.
General Information:

- The form required to request demo room space must be submitted no later than end of day December 19th. No requests will be considered unless this form is submitted. Click hereto access form.
- Space is available on a first come first serve basis only to companies directly manufacturing or designing the technology. Dealers and distributors are not qualified to participate. Requests must be made by the manufacturer directly.
- Demo’s must be available during all hours specified by HPA. Demo room participation is expected through the official end of Demo Room hours. No exceptions. This year Demo Hours have been reduced.
- Signage of any kind is not permitted. Posters explaining the demo, for instance flow diagrams, are permissible. Company logo’s and backdrops are not permitted. HPA will hang signs identifying the participant’s company.
Registration Requirements:

- To participate in the demo room, in addition to meeting the criteria, at least one person from the participating company must be registered and have paid for at least one full Technology Retreat registration. In the case where a different company is an integral part of the registered company’s demo and without their product the demo would not be complete, an individual attending from the second company must at least be registered as a Demo Room Technician.
- Demo Room Technician registration is available for those individuals who will be working as support staff in the demo room. There will be a substantially reduced fee for this type of registration which includes any meals provided by HPA during the conference, the Welcome Reception and Dinner. Anyone registered in this way will not be eligible to attend the Technology Retreat conference sessions. Due to potential space limitations in the demo room, we reserve the right to limit Demo Technician registration to no more than two people.
- A restricted-time Demo Room Assistant Pass is available for someone who will be helping to set up or tear down a demo. Contact hpastaff@earthlink.net with the following information: name of the asst., company, email address and the name of the person they will be assisting.
- Only registered Technology Retreat participants may attend the demos. We request that demo exhibitors do not extend an invitation to anyone who is not going to register for the Retreat.
Committee reserves the final decision about what technology will be included in the Demo Room. Companies previously involved who chose not to abide by the requests of HPA may be denied without regard to the technical content they propose. Violations during the Retreat of the Demo Room rules may be grounds to be asked to dismantle a demo in place and remove it from the room.
Hours of Operation
The Demo room will be “officially” open at prescribed hours, but you will have access throughout the day when the conference is in session for attendees who wish to visit and your arranged appointments. Registered conference attendees may choose to attend the sessions.

4:30 pm Set up of demos must be complete

Wednesday, February 18
10:00 am - 7:30 pm Demo room is open
6:00 - 7:30 pm Bar (cash) open in Demo Room
7:30 - 9:30 pm Welcome Dinner – all attendees
Thursday, February 19
8:45 am – 7:30 pm Demo room open for appointments and
attendees if they are not in sessions.
No specific times allotted in the schedule today.
Demo breakdown must be complete by 12:00
